About the Role
The HR Shared Services Manager is responsible for managing HR services for all staff members based in the Africa Regional Office and is the key point of contact for all HR related matters ensuring that all employees receive comprehensive HR support and resources. This position reports to the Head of HR - Africa and requires collaboration and interaction with hosted entity Heads of HR, other senior management team members in Africa Regional Office, and the Directors and Heads of hosted entities.
The HR Shared Services Manager plays a vital role in fostering a cohesive and supportive environment that empowers employees, enhances HR effectiveness, and drives initiatives for employee welfare and cultural integration in the Africa Regional Office.
The Africa Regional Office (ARO) hosts technical and leadership teams in NGO and Microfinance.
Primary Responsibilities
Human Resource Service Delivery
· Provide HR support to staff in the regional office including hosted entities and programme supervisors, ensuring compliance with BRAC policies and procedures.
· Coordinate staff recruitment & selection at the Regional Office, manage staff contracts, and arrange staff joining & induction in accordance with BRAC HR policies and local labour laws including staff onboarding and offboarding.
· Work with programme supervisors to ensure all staff annual PMS (IOPs) objective setting and periodic reviews are done in a timely manner and properly documented.
· Manage the RO payroll process, ensuring accuracy and timeliness of employee compensation and deductions.
· Ensure HR records are kept secure and up to date including personnel files, current contracts, and contact details for all staff including emergency contacts, and maintaining leave records.
· Administration of RO staff benefits and point of liaison with service providers for pension, medical, GL etc
· Work with and support the HQ HR team providing HR information and HR audit in the Regional Office.
· Liaise and ensure compliance with the relevant Ministries of Government in Kenya and for obtaining work permits and visas for all expatriates to stay and work in the country without major interruptions.
· Drive a OneBRAC Culture in the Regional office, working closely with all entities to define ways of working and building team trust, morale and working relationships.
· Assist the wider HR team and the Regional and Deputy Regional Directors with strategic projects, such as company registration processes and some logistical-related tasks
· Ensure workplace safety and maintaining a healthy and secure work environment by implementing workplace safety policies and procedures, conduct safety training, establish procedures for reporting workplace incidents, and take any other necessary steps to support employee well-being.
Human Resource Analytics and Interpretation:
· Working with BI HR team, and the Head of HR, lead the digitalization process of employee data, implement the HRMIS
· Conduct data analysis and provide insights to support decision-making on various HR projects and initiatives.
· Develop and maintain data dashboards and reports to track key HR metrics and performance indicators.
· Utilize HR data analytics to create reports and identify trends, patterns, and opportunities for process improvement and enhanced employee experiences.
· Analyse HR data related to employee well-being, benefits, work permits, and career growth plans to identify areas of improvement.
· Prepare ad-hoc reports and presentations for HR communicating data-driven insights and recommendations.
· Stay up to date with industry trends and best practices in HR data analytics and recommend innovative approaches to enhance HR processes and decision-making.
Safeguarding:
· Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the program’s goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
· Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
· Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.
Qualifications
● Bachelor's degree in HR, management, or a related field.
● Minimum of [5] years of progressive experience in HR
● Membership to IHRM or international HR certification body
● Experience in a shared services context is an added advantage
● Flexibility to maneuver the ambiguities that come with supporting multiple leaders
● Agile and high attention to detail
● Relationship-driven to deliver results (HR Leads, ARO Staff, BI HRD, external suppliers/partners
● Planning and Organizing skills
● Strong interpersonal skills - both verbal and written
● Ability to communicate with a diverse group of people
● Ability to work independently while consulting appropriately as needed
